Position Title: Administrator & Bookkeeper

Location: Downtown West-End Toronto (Queen St. West and Ossington Ave.)

Duration: Full-time

Salary: $55k - $60k

We focus on artisanal, terroir focused, high quality and small production wines. Our customers are many of the city’s top restaurants as well as discerning private clients. JOB DESCRIPTION

The successful candidate will play a vital role in the management and continual growth of the company by running key office functions including administration and simpler bookkeeping tasks. The successful candidate will work out of a unique, historic coach house in the downtown west-end, steps from vibrant Ossington Avenue and Queen St. West.

Bookkeeping Responsibilities

  • Entering products and pricing into inventory using accounting software (QuickBooks Online). 
  • Preparing invoices and processing payments.
  • Coordinating accounts receivable, including obtaining updated credit card information, processing cheque deposits and receiving e-transfers.
  • Processing accounts payable including some bills and credit card payments, and vendor payments in CAD and EUR
  • Handling customer and supplier personal information with required attention to privacy and security
  • Emailing vendor invoices and receipts for auto-filing through Dext App
  • Monthly statement reconciliation with the off-site accountant

Administration Responsibilities

  • Handling local (Ontario) customer correspondence over email and telephone
  • Coordination of deliveries, and interfacing with courier companies
  • Assist with maintenance of small office (including tasks such as answering calls, database management, ordering supplies, etc.)
  • Product ordering through the LCBO Web Application System (placing orders and generating reports) with consistency and accuracy (training provided).
  • Some other minor duties as required

 

REQUIRED SKILLS

Candidate should be computer savvy with some of the following skills:

  • Proficiency with Microsoft Excel: managing spreadsheets, sorting data, creating sales reports, use of arithmetic functions and formulas
  • Experience with QuickBooks Online
  • Comfort working with basic PDF files and forms
  • Comfort using online forms, web applications, email attachments, targeted internet searches, etc.
  • Knowledge of standard protocols for protecting customer and supplier personal information
  • High comfort level and adaptability with new technologies
  • Very strong written and verbal communication skills in English

 

PREFERRED SKILLS

  • Knowledge of French and/or Italian
  • Familiarity with switching software and/or website creation and maintenance

 

QUALIFICATIONS

  • As in any small business, candidate must be flexible and proactive in terms of duties.
  • Ability to work highly independently and to learn new tasks quickly in a busy office environment
  • A positive, energetic and resourceful attitude
  • Highly professional manner over telephone and email
  • A high degree of tact, discretion and professionalism
  • Must be located in Toronto as this is an in-office role
