JOB SUMMARY
The Domestic Violence Victim Consortium (DVC) Coordinator is a part-time position (20 hours per week) responsible for facilitating communication, collaboration, and administrative support for the Rochester/Monroe County Domestic Violence Consortium. This role ensures the smooth operation of the Consortium by coordinating meetings, managing communications, and supporting grant-related activities. The Coordinator will work closely with the Executive Board, Committee Chairs, and community partners to advance the mission of strengthening services and resources for domestic violence victims. The Coordinator will be an employee of LASROC but will be supervised by the Vice Chair of the DVC for day-to-day activities.
ESSENTIAL FUNCTIONS
- At the request of the Committee Chairs and the DVC Chair, schedule, organize, and provide logistical support for monthly meetings of the DVC's five core committees and quarterly general membership meetings.
- Record, prepare, and distribute accurate meeting minutes to the Chair and Committee Chairs for review in a timely manner. Once the chairs have reviewed and approved the minutes, send them to the membership.
- Facilitate communication with DVC members, ensuring they receive relevant updates and meeting notifications.
- Prepare a newsletter for the Chair to review and distribute to the members.
- Draft routine correspondence, announcements, and other communications as needed for review by the Chairs and distribution.
- Maintain organized records of meeting minutes, correspondence, and committee activities.
- Oversee data tracking and file management systems to support efficient recordkeeping and reporting.
- Assist in tracking and fulfilling requirements related to the Improving Criminal Justice Response Grant, which serves as the primary funding source for the DVC.
- Support grant-related reporting, documentation, and compliance activities as needed.
- Provide timely administrative assistance to the Executive Board and Committee Chairs, including scheduling, document preparation, and special projects.
- Assist with event planning, outreach efforts, and other initiatives that align with the DVC's mission.
OTHER DUTIES
- Maintain office supplies for the reception area and notify appropriate staff of inventory needs.
- Assist with basic administrative tasks, such as copying, filing, and scheduling.
- Performs additional duties as assigned.
EDUCATION, KNOWLEDGE, SKILLS & ABILITIES
- Bachelor's degree in social work, criminal justice, public administration, communications, or a related field preferred.
- Associate degree required, with an equivalent combination of education and relevant experience considered.
- Experience in nonprofit administration, victim advocacy, legal services, or coalition coordination is a plus.
- Exceptional attention to detail, with the ability to manage multiple tasks, deadlines, and priorities efficiently.
- Strong organizational and time management skills, with a proactive approach to problem-solving.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience using OneDrive and SharePoint.
- Comfort with data management, file organization, and digital collaboration tools.
- Excellent written and verbal communication skills, with the ability to draft clear and concise correspondence, meeting minutes, and reports.
- Strong interpersonal skills, including the ability to engage and collaborate effectively with diverse stakeholders, including community organizations, government agencies, and service providers.
- Ability to facilitate productive discussions and support group decision-making processes.
- Demonstrated ability to work independently with minimal supervision while maintaining accountability for tasks and responsibilities.
- Effective team player with a positive, cooperative attitude and a commitment to supporting the DVC's mission.
- Capacity to bring people together, foster collaboration, and support consensus-building to achieve the DVC's goals.
